Entering time on your timesheet

Create, change and remove time entries, and understand why some entries can no longer be edited.

Open Timesheets in the sidebar. Everything you record there is a time entry: one project and task, an amount of time, and an optional note. Reports, budgets and invoices are all built from those entries, so the entry is the one thing worth getting right.

What the form asks for depends on a single company setting. Some companies record a begin and an end time, others record only a duration per task per day. See duration versus begin and end times for the difference and for what changes when it is switched.

Creating an entry

The way in depends on which view you are looking at.

  • Calendar view. Double-click an empty spot in a day column, or press and drag over a time range. The entry form opens with those times already filled in.
  • Table view. Fill in from and until at the top of the page, pick the project and task, then select Add. The duration is worked out while you type.
  • Day view. Select New entry.
  • Week view. Type the time straight into the cell for that task and that day.

You can also let a timer create the entry for you.

Picking a project and task

The Project / Task list only contains combinations you are allowed to book on: the project has to be active, the task has to be linked to that project, and you have to be assigned to the project. Recent project/task puts the ones you use most within a single click.

If the list is empty, or the task you need is not in it, that is an assignment question rather than a timesheet question. See setting up projects and tasks.

Notes and extra fields

Notes is free text and stays with the entry. It is shown under the entry in the timesheet report, which is usually where anyone reviewing your week reads it.

If your company has added extra timesheet fields, they appear in the same form below the notes. Those are set up by an owner or admin under modules.

Copying a day or a week

Copy previous day takes every entry from your most recent day with time on it and puts it on the day you are looking at.

Copy previous week appears in the week view while the week is still empty. It shifts last week's entries forward by seven days and leaves out the weekdays your company does not work.

Changing and deleting

  • Calendar view. Click an entry to reopen it, with Delete in the form. Drag it to another time or another day, or drag its edge to make it longer. Right-click an entry for Duplicate, Copy, Copy notes and Delete; right-click an empty spot afterwards to Paste.
  • Table view. Every row has a pencil that loads it back into the form and a bin that removes it.
  • Day view. Edit reopens the entry. The chevrons beside a duration step it up or down by your company's minimum time to log and save straight away.
  • Week view. Type over the cell. Changes save on their own, and the cross at the end of a row removes that row.

Deleting takes effect immediately.

When an entry can no longer be changed

Three separate things stop an entry from being edited, each with its own message.

What you see What it means
This timesheet belongs to a submitted or approved timesheet period You submitted the period, or it has been approved
This approval period has been closed The period is finished and no longer accepts changes
This timesheet is locked Someone locked the entry by hand from the timesheet report

For the first, recall your submission and the period opens up again. See submitting your timesheet. For the second and third, ask whoever handles approvals or reporting; a manual lock is set and cleared from the timesheet report with Mark as, using Locked (manual) and Unlocked.

Entries that have already been invoiced are read-only in the calendar as well, so an invoice cannot quietly change underneath itself.
