Non-working days and holidays

Setting the working week, marking company closures, and recording one person's absence.

Temponia keeps three separate ideas about when people do not work: the days of the week nobody works, the dates the whole company is closed, and the days one person is away. Each is set somewhere different and each does something different.

Active days

On the Settings tab, Active days is a row of day chips from Monday to Sunday. Highlighted days are working days. The note under it is literal: "It's not possible to log time on other days." New companies have Saturday and Sunday switched off. At least one day has to stay on, and the form refuses to let you clear the last one.

Active days shape:

  • the calendar view, where non-active days cannot be clicked
  • the week grid in duration-only mode, which only draws columns for active days
  • Copy previous week, which skips any entry that would land on a non-active day
  • the expected-hours calculation behind reminders

Week starts on sits just below and takes Monday or Sunday. It decides where a week begins in the week views and in weekly reminders. It is independent of active days: a company can start its week on Sunday and still not work Sundays.

Company non-working days

The Non-working days tab shows a whole year as twelve month cards. Click a date to mark it, click it again to unmark it. There is no save button; each click saves. The arrows either side of the year move to the previous or next one.

Use it for public holidays and company closures. What a marked date does is set the expected hours for that day to zero for every user in the company. The day then never counts as one somebody failed to fill in, and it does not drag down the completeness figures on their dashboard.

Marked dates also appear on the timesheet calendar, so people can see why a day is empty.

A click saves the whole year. Each change replaces every company non-working day for the year on screen. Two people editing the same year at the same time will overwrite each other, so mark a year's holidays in one sitting.

One person's absence

Individual absence is not on the company pages. Open Users and use the non-working days action for that person. Each entry takes:

  • From and Till
  • Type: Holiday, Sick leave, Maternity or Paternity
  • Hours per day, prefilled with that person's Weekly total hours divided by five, and not allowed to exceed it
  • Remarks

Those hours come off what the person is expected to log on every day in the range, so a half day of holiday leaves half a day expected. Two absences of the same type may not overlap.

How expected hours are worked out

Everything above feeds one number per person per day.

  1. Take the person's Weekly total hours from their profile and divide by five.
  2. Subtract the hours of any individual absence covering that date.
  3. If the company has marked that date as non-working, the result is zero whatever the first two steps produced.

Step one always divides by five, regardless of how many active days you set. If your working week is four days, set Weekly total hours to whatever makes the daily figure come out right rather than to the contractual weekly total.

What non-working days do not affect

They do not change timesheet, project or expense reports. Those report the time that was actually logged, and an empty holiday is simply an empty day.

What they do feed is the completeness picture: the reminder emails, the current and previous period widgets on a user's dashboard, and the per-day compliance breakdown behind them.
