Calendar sync
Show your Google or Outlook events beside your timesheet and turn meetings into time entries.

Most of a consulting week is already written down somewhere: it is in your calendar. Connecting it puts your meetings in a lane next to your timesheet, so you can drag an appointment across and turn it into a time entry rather than reconstructing Tuesday from memory.
Temponia supports Google Calendar and Outlook. Both are read only. Temponia reads your agenda and nothing else. It never creates, moves or deletes events, and it does not put your tracked hours on your calendar.
Each person connects their own calendar. There is no company-wide switch that exposes one person's agenda to another.
Connect your calendar
- Open Settings from the Account menu.
- Scroll to External calendars. There is a card for Google Calendar and one for Outlook Calendar, each showing Connected or Not connected.
- Select Connect on the one you use, sign in with that account and approve the read access it asks for.
- You come back to the same page and the card now reads Connected.
You can connect both at once. When you do, the timesheet lane shows events from each and labels which is which.
Google reads your primary calendar. Other calendars you subscribe to, and calendars shared with you, are not included.
The organisation-wide Outlook connection
Microsoft calendars can also be authorised once for the whole company instead of account by account. A Temponia owner or admin adds Office 365 from Integrations under the Account menu, and consents on behalf of the organisation. The admin who does this is linked to their own Microsoft account as part of the process.
Everyone else still has to opt in. Their Outlook card explains it: "Your admin connected Outlook for the organization. Finish your user link to activate your personal calendar sync." Selecting Connect links their Microsoft account rather than storing a personal token, and the card then carries an Organization badge.
The Office 365 integration also puts a Users button on the integrations list, which lets an admin invite people from the Microsoft directory into Temponia. That is separate from calendars; see inviting your team.
Seeing events on your timesheet
Open your timesheet in Day or Week view and select the Calendar button in the toolbar. A second lane appears to the left of the one headed ACTUAL, with the provider name above it, holding your events for that day.
- The lane only works in Day and Week view. In Multi view, which shows several people at once, the button is disabled.
- It only ever shows your own calendar on your own timesheet. Opening a colleague's timesheet does not show their agenda.
- With no calendar connected the button is disabled and explains why.
Turn an event into a time entry
Two ways, both of which open the normal entry form rather than saving anything straight away:
- Drag the event sideways into the ACTUAL lane and drop it where it belongs.
- Double-click the event to place it at the same time on that day.
The form opens with the event's subject filled in as the note and the event's length as the duration. Pick a task, adjust anything you want and save. Until you do, nothing has been recorded, so a calendar full of internal meetings does not quietly become billable time.
Rounding and working hours. A dropped event is at least one rounding step long, so a ten minute call becomes fifteen minutes if that is your step. It is also kept inside your company's working day; an event that starts before the working day begins is moved to the start of it.
What is not shown
- All-day events. Both Google and Outlook all-day entries are skipped, since they carry no usable start and end time.
- Events entirely outside working hours. The grid only covers your company's working day, so a 06:00 event does not appear if the day starts at 08:00. An event that only partly overlaps is shown clipped to the working day.
- Anything from a non-primary Google calendar.
Disconnecting
Select Disconnect on the card in Settings. The stored access is deleted and the lane goes empty. Time entries you already created from calendar events are ordinary entries and are not affected.
Disconnecting Outlook also removes your link to the organisation-wide Office 365 connection, if your company has one. To rejoin, select Connect again.
If a card goes back to Not connected without you touching it, the access Temponia held could no longer be renewed, usually because the password changed or consent was withdrawn on the provider's side. Reconnecting restores it.
