Submitting your timesheet

Send a whole period to your reviewer, and know what you can still change once you have.

When your company runs approvals, time is not reviewed entry by entry. It is reviewed a period at a time: a whole week or a whole month of your entries goes to one reviewer, who either approves it or sends it back.

A banner appears at the top of Timesheets showing the period you are looking at, its status, how much you have logged against what is expected, who your reviewer is, and the button to submit. If you do not see it, either the Approvals module is off for your company or you are not marked as requiring approval.

What a period is

Your company picks weekly or monthly periods. Periods are created for you, they never overlap, and every entry belongs to exactly one of them based on its date in the company time zone. There is nothing to open or start.

Each period gives you one submission, with a status:

Status What it means
Open Not sent yet. Everything is editable
Submitted Waiting for your reviewer. Entries are locked
Approved Signed off. Entries stay locked
Rejected Sent back to you. Editable again, and needs resubmitting

A period can also be closed by an administrator. Closing is separate from approving: it locks the period for everyone regardless of what any individual submission says.

Submit a period

  1. Open Timesheets and navigate to any date inside the period.
  2. Check the logged figure in the banner against the expected figure. Expected hours come from your weekly hours and already account for absences and non-working days.
  3. Select Submit for approval.

If you have logged less than expected, you get a confirmation asking whether to submit anyway. Submitting short is allowed, it is only a prompt.

Two things can stop a submission. If nobody is set as your reviewer, you get No reviewer is configured for this timesheet, which an administrator fixes under Company settings, Approvals. If the period has already been closed, it can no longer be submitted at all.

The moment you submit, your reviewer gets an email with the period, the total logged, how much of it was billable and the number of entries.

What locks, and what does not

From submission onwards, every entry dated inside that period is locked. You cannot change its time, its task, its notes, or delete it. You also cannot add a new entry to a date in that period. That applies everywhere, not just on the timesheet page: the mobile apps and the Jira panel create ordinary Temponia entries, so they are refused the same way.

What is not affected: rates and invoicing. Those are not yours to change anyway, and an administrator invoicing an approved period does not need to unlock anything.

Only the period you submitted. Locking follows the dates of the period, not the moment you pressed the button. Days outside the period stay editable as normal, including the current week if you have just submitted last week.

Recall a submission

If you spot a mistake before your reviewer gets to it, select Recall in the banner or on the submission page. That returns the period to open and unlocks your entries. Recalling is recorded in the submission history along with everyone else's actions.

Once a reviewer has approved a period, you can no longer recall it. Only an administrator can reopen an approved submission, and they must give a reason.

If your timesheet is rejected

A reviewer cannot reject without writing a reason, so you always get one. You receive an email titled Your timesheet for … needs changes with that reason, and the reason also shows in red in the banner and on the submission page.

Rejection unlocks the period. Correct what was flagged, then use Resubmit for approval. Resubmitting clears the old rejection reason and sends your reviewer a fresh notification, exactly as a first submission does.

Reminders

If your company has reminder emails switched on, you get a reminder once a day for any period that has ended, is past the company's grace period and is still not submitted. The reminder repeats the rejection reason if the period was sent back to you. Reminders go out from 09:00 in the company time zone and stop as soon as you submit.

Seeing the detail

View details in the banner opens the submission page. It lists your entries for the period grouped by date with daily totals, the logged and expected figures, your reviewer, and a full history: who submitted, approved, rejected, reopened or closed, when, and with what comment. Nothing in that history can be edited or removed.
