Your subscription
How the trial, the plans, per-user billing, payment details and cancelling all work.
Last updated 25 July 2026
Everything to do with paying for Temponia sits on one page. Open the account menu at the top right and, under Temponia, select Subscription. Only an owner or an admin sees that menu entry.
This is separate from the invoices you send your own clients. Subscription and Invoices in that menu are about what you pay Temponia. What your clients pay you is covered in Creating an invoice.
The trial
Every new workspace starts on a 30 day trial with everything switched on, including the features that are otherwise Enterprise only. The header shows how much is left, for example 12 days left in trial, and links to this page.
Three days before it runs out, the owner gets an email titled Your trial period is coming to an end. If the trial expires without a plan, the workspace stays readable but nobody can add or change time entries. Nothing is deleted, and choosing a plan lifts the block immediately.
During a trial you can have up to 20 active users.
Choosing a plan
There are three plans: Free, Team and Enterprise. Prices change, so read the current ones on the pricing page rather than here.
| Plan | What it gives you |
|---|---|
| Free | One user, one client, two projects. No further users can be invited |
| Team | Unlimited clients and projects, priced per user |
| Enterprise | Team, plus your own identity provider, SCIM provisioning and the Flexfields module |
Signing in with Google or Microsoft works on every plan. It is configuring your own Entra ID or Okta connection, and SCIM, that needs Enterprise. See Security and single sign-on.
To change plan, pick one under Select plan, set Number of users, and select Update subscription.
Legacy pricing. Workspaces on an older price list see a banner reading "Your current plan is legacy pricing." Nothing breaks, but you have to move to Team or Enterprise to change anything about the subscription.
How the price is counted
You pay for the number of user accounts you put in the Number of users field, not for how much anyone tracks. The field cannot go below the number of active users in your workspace. Try it and you get "You have more active users so you can't downgrade."
To pay for fewer users, archive the ones you no longer need first. On the Users page, archiving a person keeps all their history and removes them from the count. See Inviting your team.
Downgrading to Free has its own check: it is refused while you have more than two active projects or more than one active client.
Currency and VAT
The billing currency follows the country on Company info: EUR for countries in the EU, USD everywhere else. You are asked to complete your address before you can subscribe, so the page may redirect you with "Please, update your address data".
VAT is worked out from the same address. Belgian companies are always charged VAT. Companies elsewhere in the EU that enter a VAT number are charged without VAT once that number validates against VIES. Outside the EU no VAT is added. If a previously accepted VAT number stops validating, the number is cleared and the owner gets an Invalid VAT number email.
Payment details
Cards live in the Registered cards block on the same page.
- Select Add card. You are handed over to Stripe's own checkout page.
- Enter the card there and confirm.
- The card appears in the table with its brand, last four digits and expiry.
Temponia never receives or stores the full card number. With more than one card, a Set default link appears next to the others.
Subscribing from an active trial carries the days still left on that trial into the subscription, so the first charge does not land earlier than the trial would have ended anyway.
Invoices for the subscription itself
Account menu, then Temponia, then Invoices. The Temponia invoices page lists every payment with its number, date and total, and a View invoice action that opens the PDF.
Each successful payment is also emailed to the workspace owner as New invoice, with the PDF attached. If a payment fails, the owner instead gets Payment failed, asking you to check the card details or contact your bank. Fix the card on the subscription page.
Cancelling
Cancel subscription sits under the plan card and only appears while you have a paid plan. Read the confirmation carefully, because cancelling does three things at once:
- every project is set to inactive
- every user except the workspace owner is archived
- the workspace moves to the Free plan
It takes effect straight away, not at the end of the billing month.
Nothing is deleted. Time entries, projects, clients, expenses and invoices are all still there, and the owner can still sign in and read them. If you subscribe again later, reactivate the projects and users you want back. While you are on Free, the one client and two active projects limit applies to what you can have switched on.
If you want a copy of your data before or after cancelling, or you want the account removed entirely, see Exporting and deleting your data.
